Before suggesting anything, we spend time with your team to understand how things really get done. The automations come afterwards, shaped by what we've seen.
Tell us what you needOff-the-shelf software is designed to suit as many companies as possible. It knows nothing about the rules and habits specific to yours, and that is often where time gets lost.
The client you never chase for payment, the order that always jumps the queue. A standard tool treats them like everything else.
The shared spreadsheet the whole team has relied on for years. It holds information you won't find anywhere else.
Your categories, your abbreviations, your statuses. An automation that doesn't understand them will file things in the wrong place.
The step only one person knows how to do, and that holds everything up when they're away.
Automating without accounting for these quirks gives you a system that works on paper, and that the team ends up working around. Arphyos builds from them.
Typical example
A wholesale distributor with around thirty staff. This case is made up to illustrate the approach, but it looks a lot like many real ones.
Orders come in by email. Every morning, an assistant re-keys them into the management software. Two rules aren't written down anywhere: orders from three long-standing clients go first, and any large order must be approved by the sales director before it's processed.
Reading the emails and entering the orders would be automated. Both rules would be built into the flow: priority clients move to the top of the list, and large orders go for approval before being entered. An email that doesn't look like any known order stays in the assistant's inbox.
Arphyos works with you from the first diagnosis through to ongoing support, starting each time from what you already have in place.
We look at how each task is really done in your company, exceptions included. That lets us sort them: some are worth automating, others take too little time or are too irregular. The audit is also there to say no.
We build AI systems that are easy to read: documented, editable, and easy for someone else to take over if needed. Your team should be able to understand what's running in-house.
Tools get new versions, models evolve, and an unexpected case always turns up eventually. Monthly support covers all of that.
The form at the bottom of this page runs through this flow. It's a deliberately simple automation, built with the same tools we offer our clients.
Nothing depends on an inbox someone forgets to check: every request leaves a trace and triggers a signal. The same principles apply to a quote, a follow-up or a report, with more steps and more cases to plan for.
Four steps. The first is free, and the second stands on its own.
Forty-five minutes to understand how you work and where time is lost. We then tell you whether an audit makes sense. Sometimes it doesn't.
A map of your current processes, the real volume of each task, technical feasibility. It stands on its own: nothing commits you to going further.
The selected processes are tackled in order of priority. Each automation first runs on real cases before going live.
Monthly. For updates, and for the cases nobody saw coming.
A report written for a business owner, not an IT specialist. It's yours to keep, whether or not you continue with Arphyos.
Two minutes to describe your recurring tasks. We'll get back to you to set up a free, no-commitment forty-five-minute call. A tailored quote follows.
